Filters

Show only the items you need using clear, simple rules.

What filters do

A filter decides which items appear in a View. It never moves, changes or deletes the original items.

Example: A Tasks list can keep every task, while a view called “Things to do” shows only items where Done is No.

In a view with multiple source lists, a condition uses a compatible field with the same name in each list. If an item has no matching field, the condition is tested against a blank value.

Create a filtered view

  1. On the Lists screen, tap +, choose View, enter a name and save.
  2. Open the new view’s settings and select one or more Source Lists.
  3. Open Filter and tap + → New Condition.
  4. Choose a field, rule and target value if the rule needs one. Choose All of these or Any of these under Match.
  5. Save the view. Filters change which items appear, not the source items.

A new view’s source lists, filter and sort controls appear when you edit it after creating it. You can also add New Group from the filter’s + menu.

The three parts of a condition

Field

The information to check, such as Status, Price or Due Date.

Rule

The test, such as Is equal to, Contains or Is after.

Target

The value to compare against, such as Done, 50 or Today.

Rules such as Is blank, Is not blank, Is Yes and Is No do not need a target.

Rules by field type

Text, Time, Choice and Multiple Entries

Is equal to, Is not equal to, Contains, Does not contain, Is blank, Is not blank. Time is filtered as displayed text rather than by before or after time comparisons.

Numbers and numeric formulas

Is equal to, Is not equal to, Is more than, Is less than, Is blank, Is not blank.

Dates and date formulas

Is equal to, Is before, Is after, Is blank, Is not blank. Choose a specific date or a moving target: Yesterday, Today or Tomorrow.

Yes/No

Choose Yes or No; no target is needed.

Colour and Icon

Is equal to, Is not equal to, Is blank, Is not blank.

Linked List

Is equal to, Is not equal to, Contains, Is blank, Is not blank. Select an item when a target is needed.

Notes: Number rules “Is more than” and “Is less than” are strict comparisons. Text equality ignores case and surrounding spaces; Contains uses the app’s localised text matching. Chart fields are not useful as filter conditions because they do not store a per-item value.

Quick filters while browsing

Open the filter control in a list or view, choose + → New Condition or New Group, and choose All or Any. Quick conditions narrow the current items without editing the saved view.

Clear all removes quick conditions and resets their Match setting to All; it does not remove the view’s saved conditions. Save as View is available once you add a quick condition. From a saved view, the new view combines the original filter AND your quick filter, retaining the view’s sort rules.

Examples

  • Outstanding tasks: Done → Is No
  • Expensive purchases: Price → Is more than → 100
  • Missing notes: Notes → Is blank
  • Matching books: Title → Contains → garden
  • One project: Project → Is equal to → Website redesign

If results look wrong

  • Check the Source Lists.
  • Check spelling, especially for Is equal to.
  • Try Contains if the field includes extra words.
  • Check whether the View uses All or Any.
  • Open a test item and verify its stored value.
